When moving to new offices there are a few things you should check before getting the keys. Office security is essential, not only for protecting your company's property once you've moved in (after all if the worst came to the worst, computers, printers and fax machines are covered on insurance policies) but for ensuring the safety of your employees and visitors on your business premises.
You should always investigate what security measures are in place at the new offices you're moving to. It might help to use the below check list to see whether the following are installed or services offered by the landlords of your offices:
- Exterior CCTV surveillance systems
- Internal CCTV cameras (usually discreet systems)
- Fire alarms (which should be regularly tested with scheduled fire drills taking place to ensure all tenants are aware of the assembly points, exit locations and evacuation plans for employees or visitors with disabilities)
- Manned security desk or reception to meet visitors (multi tenant buildings)
- Pass card/key code door entry systems
- Sign in sheets and security pass system for visitors (multi tenant buildings)
- Office safes
- Secure vehicle parking areas with barriers or pass card/keypad entry
If you are concerned that there is not adequate, it is worth speaking to your landlord before moving in, or requesting installation by a security specialist of minimal security measures such as key pad door entry or a swipe card system which ensures only authorised personnel are able to access offices. This could also be upgraded if particular offices or rooms within your accommodation should only be accessed by employees with clearance to do so.
